George, KB0ZZT, volunteered to do some searching for a suitable place to
have our first annual meeting of the SACMARC (thanks George!). As with
other local clubs, this is intended both as a nice social event/dinner
to reward members for their participation, and as an opportunity to
transact end-of-year business, including election of officers for the
next year.
The basic constraints, as we saw them (and based on additional
suggestions from WB0TUE and N4OWG), were:
- Planning early (NOW wouldn't be too late)
- Inexpensive ($10-$15 per person, minimal fees or deposits for the club)
- Private accommodations for as many as 50 to 60 people (30 members,
each of which may bring a spouse or guest) for at least a few hours
- Handicapped-accessible
- No schedule conflict with other major clubs in the area
- Local to Bellevue
Some additional nice-to-haves would be:
- Minimal pre-event planning and collection of money
- Availability of at least beer and wine for those who wish to drink
George recommended the Bellevue Sizzler on Harlan Road. They have a
party room that's available for a $20 (refundable) deposit. They can
accommodate up to 75 guests. We can have it the evening of Wednesday,
December 17th (the third Wednesday of the month) from 6pm to 8:30pm
(which is when they close). This date corresponds to when our regular
quarterly meetings occur in March, June, and September. As far as I am
aware, this does not conflict with any other local amateur radio club's
annual meeting. They have a reasonably wide menu (steak, chicken,
seafood, soup/salad/pasta bar) and serve a wide variety of drinks,
including beer and wine. Guests need only show up the night of the
meeting, order off the regular menu, let the cashier know that they are
with our party, and a service charge ($1) will be added to each person's
bill (you pay in advance at Sizzler). I doubt that attendance will be
heavy enough that we will have to turn people away (saving the trouble
of collecting RSVP's).
I think this fulfills all of our requirements, as well as our
nice-to-haves. This is kind of tenuous, because I don't know if it
arguably falls under executive discretion, or is business that requires
formal approval (the club was pretty much in agreement that we should
have an annual meeting, with certain understood parameters, and only the
implementation details were left undone). If no one objects, I would
like to propose to the club that we accept these plans for our annual
meeting. I'll personally front the deposit. If there is objection
(schedule conflict, strong support for other plans or venues), we can
certainly convene a short Board of Directors meeting in the near future
and hash this out.
